Intranet makes communication easily accessible to all employees - regardless of location

The Challenges
The National Union of Social Educators (Socialpædagogernes Landsforbund, Socialpædagogerne) is a
nationwide professional organization divided into 10 districts around the country. They work for attractive pay and employment conditions for their members, the development and dissemination of social education and a good and meaningful life for vulnerable people. Employees needed an easily accessible communication platform that everyone could use to avoid important information disappearing in their inboxes.
The buying process
Socialpædagogerne's intranet solution has been live since 2018, when they chose to replace the old platform in connection with moving their IT to a new supplier. At the time, they weren't 100% clear whether it should be a ready-made solution or whether it should be tailored to their needs. Liselotte led a thorough preliminary analysis with a workshop, questionnaire survey and stakeholder interviews. This resulted in an extended requirement specification with both technical and content-related points. This was followed by a tender process where Socialpædagogerne invited three suppliers to bid on the project. One of them was Colibo.
The advantage of Colibo was a quick implementation, even though I was initially skeptical about choosing a packaged solution, which it is. The solution turned out to be very user-friendly, and the news feed is actually very similar to what we know from social media. So visually there is a nice recognizability for the employees.

It's all about behavior and safety
Although it's been a few years since the intranet went live, Liselotte is still focused on helping and guiding employees. However, she is not alone in the project.
We continuously strive to ensure that the intranet gets the place it deserves in the organization. We continuously promote good tips for the intranet and webinars for districts and units.
First and foremost, the management of Socialpædagogerne has embraced the intra-net and uses it instead of sending out emails. This sends a signal to everyone in the organization about the importance of gathering the dialogue on one platform.
We use the intranet to inform employees about GDPR and have gathered all information in one place in a working group on the intranet. Employees can stay informed here. Not only do we keep track of documents and data when they are on our intranet, but employees can always find relevant knowledge about GDPR in one place, for example what employees should do in the event of a data breach and instructions.
Knowledge sharing in the circles

There are 8 employees in the office, and Anne Mette is, among other things, editor of the intranet, where she is responsible for posts locally in the district. In the news feed on the front page, they get important news from the entire organization. They have also set up their own working group for local topics. These range from vacation plans to guides and contact information. Across the organization, they can also follow topic-based working groups on topics such as IT systems and GDPR.
Colibo allows me to stay updated on what's happening around the organization. I really benefit from the shortcuts to the other systems we use. It ensures that the files are always up to date and only in one place.

Used daily
One year after the launch, employees were asked about how they used the intranet and their experience. The response showed that adoption was high among employees, with the majority accessing the intranet at least once a day to keep up to date with news, workgroup activities and phone book searches. Employees used the intranet via mobile phones and that this was across a wider range of hours of the day.
We are currently looking at the possibilities for onboarding new employees with Colibo. It is possible to set up flows and questionnaires that guide new employees through the process, so they can get a good and consistent introduction with us. The system also allows HR to follow the process from start to finish for the individual employee.
